Winning and staffing a project
When SME accepts your offer, you sign the statement of work and add your people. This article covers accepting a project and staffing it.
When SME accepts one of your offers, the work becomes a project. You sign its statement of work (SOW) to start, then add your people from your Members directory.
Accepting the project
A won request appears under Projects → Needs accept, and the original request shows on your Accepted staffing-requests tab. Once you sign, the project moves to Projects → Active. The list shows each project's profiles, the Headcount SME accepted, and how many people you've Staffed so far.
Open the project to see its details:
- The Statement of work card, with the SOW and its status (Needs signature or Signed)
- Awarded terms, listing each offer SME accepted under its profile: the offer name, Rate, Accepted headcount, Ready now, and Later ramp
- The Staffing section, which appears once you've signed
Signing the statement of work
On the Statement of work card, the status shows Needs signature:
- Review the SOW. If it's written as text, you can read it right on the card. If it's a PDF, it opens in the signing view.
- Select Sign and submit.
- For a PDF, place your Signature and Date on it (printed name is optional), then Sign and submit. For a text SOW, confirm in the dialog.
Once signed, the card shows Signed and the project becomes Active, so you can start staffing. You can reopen a signed PDF any time with View PDF. Your project SOWs are also listed under Project SOWs on your Documents page.
Declining an award
If the terms don't work for you, select Decline award instead of signing. You can add an optional Reason, which is shared with SME. Declining can't be undone from your side, and SME may award the work again or to someone else. You can only decline before you've signed.
Amended SOWs
If SME accepts another of your offers after you've signed, they send an amended SOW. The card shows Needs signature again with the date SME updated it. Review and sign the new version. Your project stays active and you can keep staffing in the meantime.
Staffing the project
In the Staffing section, a progress line shows how many people you've staffed against the headcount SME accepted, with a progress bar for each awarded profile.
- Select Create pool to group people on the project. Give the pool a Pool name, and if the project has more than one awarded profile, choose which Awarded profile it's for.
- Add people to the pool, either way:
- From your directory. On the pool, search your Members directory by name or email, select people, then select Add.
- From a CSV. Select Import CSV, pick the Pool, and drop in your file. The columns are First Name, Last Name, Email, Languages. Email is required, and someone who isn't in your Members yet also needs a name and at least one language. Use Download example CSV for the format. A file can hold up to 500 rows. You'll see a preview of who's New, Already in pool, or Invalid before you confirm with Add people. New emails are added to your Members too.
Once someone is in your pool, SME takes them through the project's onboarding from their side. Each person shows the stage they've reached in SME's pipeline, such as Longlisted, Invited, Waitlisted, Confirmed participation, Bootcamp, Qualified, or Onboarded. A table above your pools shows how many of your people are at each stage, per pool.
You can Remove a person from a pool, and they stay available to assign again. If SME removes someone, they show Removed by admin and no longer count toward your staffed total. A pool can only be deleted once it's empty.
Getting people readyTo add someone from your directory, they need to be in your Members first (a CSV import adds them for you). People sign in with the account you invite them to from Members, so make sure they've been invited there. See Managing your members.
